How do you automate purchasing in NetSuite?

Last updated

Lancaster Agentic is a purchasing agent for Oracle NetSuite: it reads your sales history, stock on hand, open purchase orders, vendors and lead times, then tells you what to order and how much. You ask in ChatGPT or Claude and review a reorder workbook. The NetSuite connection is built, and we test it against your NetSuite sandbox with you before go-live.

What does Lancaster Agentic do in NetSuite?

Lancaster Agentic answers the buyer's daily question, "what do we need to order, from whom, and how many," using your own NetSuite data. You ask in plain language in ChatGPT or Claude, and it returns a reorder workbook with a recommended quantity for each item, the forecast behind it, and when the item would run out.

A buyer at Brightline Supply might ask "What should we order from Ironwell Tools this week?" When you agree with the list, Lancaster Agentic drafts the PO lines; the connection is tested with you before go-live. Nothing goes to a vendor until someone on your team sends it.

How does Lancaster Agentic decide how much to order?

Lancaster Agentic forecasts each item from three years of monthly sales, then orders enough to cover the vendor lead time plus your safety-stock days, minus what you have and what is already on order.

  • Steady sellers get a trailing average of recent months (12 by default).
  • Items that sell only now and then use a method built for intermittent demand, and keep a reserve of at least one typical order.
  • Seasonal items can use same-season-last-year or a three-year seasonal median when you ask for it; the default forecast is not seasonal.

The workbook explains which method was used for each item, so a buyer can see why a number came out the way it did instead of trusting a black box. Items with a missing lead time are highlighted so you can fix them.

How does it work alongside NetSuite's reorder points and Demand Planning?

Lancaster Agentic does not replace NetSuite's planning features; it gives buyers a second, explainable recommendation and a faster way to ask for it. You can keep using whichever NetSuite tools you already run.

  • Advanced Inventory Management. Oracle's help describes reorder points and preferred stock levels on the item record, which you can type in or let NetSuite auto-calculate from demand, lead time and safety stock. The Order Items page then lists items below their reorder point and creates one purchase order per vendor.
  • Demand Planning and Supply Planning. Oracle describes demand plans built from item demand and forecasts, and supply plans that suggest purchase and work orders.
  • Inventory Optimization. Oracle's help describes a feature that segments items, sets service levels and calculates safety stock, reorder points and preferred stock levels.

Teams that already tune these settings can use Lancaster Agentic to check the numbers and to answer quick questions in ChatGPT or Claude. Teams that never finished setting them up can get usable recommendations without configuring every item first. What is the status of the NetSuite connection?

The NetSuite connection is built, and we test it against your NetSuite sandbox with you before go-live.

That means setup is done with you, not a self-serve download. Book a call to start.

Where do I use it?

For NetSuite, Lancaster Agentic works in ChatGPT and Claude. You ask your purchasing questions there, download the reorder workbook, and Lancaster Agentic drafts the PO lines; the connection is tested with you before go-live. See Lancaster Agentic in ChatGPT and Claude for how a session looks.

Slack is available today for EBMS only, so NetSuite teams use ChatGPT or Claude.

Is my NetSuite data safe?

Each connected company gets its own database, and one account cannot see another account's data or purchase orders. The engine reads your data through read-only access, and purchase orders are created only when you tell it to.

Sign-in uses OAuth, and nothing is sent to vendors or anyone else on your behalf.
